REPORT ON THE MONITORING CONDUCTED BY THE REGISTRAR'S OFFICE OF THE SAMARKAND INSTITUTE OF ECONOMICS AND SERVICE ON IMPROVING THE SYSTEM OF WORK WITH STUDENTS
At the Samarkand Institute of Economics and Service, systematic work was carried out to organize the educational process for students effectively, to resolve issues related to their academic activities in a timely manner, and to provide them with the necessary information and advice.
In the 2025-2026 academic year, monitoring was conducted by the Registrar's Office aimed at studying the current state of the services provided to students, determining the level of use of these services, assessing their effectiveness, and improving the existing system.
During the monitoring, it was found that the Registrar's Office had been providing students with advice and explanations on matters related to the organization of the educational process and academic activities.
In particular, students were given appropriate explanations on mastering subjects, academic debt, retaking courses and re-examinations, controls, the formalization of documents related to the educational process, obtaining academic information, transferring and reinstating studies, and other matters related to the educational process.
The services were provided on the basis of students' individual inquiries. Depending on the content of the inquiry, the student was either given the necessary information or referred to the relevant structural unit and responsible staff member authorized to consider the matter.
During the monitoring process, the cases of students contacting the Registrar's Office and the content of their inquiries were studied. The inquiries mainly concerned the organization of the educational process, academic debt, retaking subjects, the formalization of documents, procedures within the educational process, and the use of services established for students.
In considering students' inquiries, attention was focused on correctly identifying the student's issue, providing the necessary information in a timely manner, and concluding the inquiry in the proper order.
The effectiveness of the services provided to students was assessed on the basis of the quality of the review of students' inquiries, the accuracy of the explanations given, the effectiveness of referring inquiries to the relevant responsible persons, and whether the student obtained the necessary information as a result of the inquiry.
During the monitoring, special attention was paid to issues about which students repeatedly made inquiries. In order to prevent repeated inquiries, it was determined that the procedures and requirements related to the educational process need to be conveyed to students in a more comprehensible form.
In the process of providing advice in response to students' inquiries, priority was given to taking the student's individual situation into account and to explaining the practical procedure for resolving the issue, rather than limiting the response to general information.
Within the framework of the monitoring, attention was paid to students' feedback in the process of using the services provided to them and to the status of the resolution of their inquiries. The suggestions and inquiries expressed by students were considered important information for assessing the quality of advisory services and identifying existing shortcomings.
In order to assess student satisfaction more accurately and systematically, it was deemed advisable in the future to regularly study the opinions of students who have used advisory services, analyze the results, and determine appropriate measures regarding the problems identified.
As a result of the monitoring conducted, it was established that advisory services for students are in practice organized and that appropriate explanatory and referral work has been carried out in response to students' inquiries.
At the same time, it was noted that, in order to further increase the effectiveness of advisory services for students' inquiries, it is necessary to record inquiries on the basis of a unified system, regularly analyze the content of inquiries, develop explanatory materials on the most frequently asked questions, and regularly study student satisfaction.
Based on the results of the monitoring, it was decided to continue work in the following areas:
- delivering information related to the educational process to students in a timely and comprehensible form;
- promptly receiving and reviewing inquiries;
- correctly referring students to the structural unit authorized to handle their issue;
- strengthening explanatory work on academic debt and other academic matters;
- improving information and explanatory materials on students' frequently asked questions;
- regularly studying the satisfaction of students who have used advisory services;
- analyzing the results of inquiries and developing improvement measures for the problems identified;
